Filter, analyze, and export your participation data

Your participation data tells a story. Every time you log a response on the Tracker tab, PrepPanel records who spoke, how it went, which class they're in, and exactly when it happened. The Reports tab is where that story comes together.

Use filters to narrow down logs by class, status, or date range. Switch to the Insights view for at-a-glance equity analysis - including an equity score, a needs-attention callout, per-student call frequency bars, and a status breakdown. When you need your data outside PrepPanel, export everything to CSV with one click.

Together, these tools turn raw participation logs into actionable information about who's getting heard in your classroom - and who might be slipping through the cracks.

Before You Start

  • PrepPanel installed with at least one section and roster set up (see the Getting Started guide)
  • Some participation data already logged - you'll need at least a few entries to see meaningful reports
  • The teacher dashboard open in a separate window (launch it from the Settings sub-tab in the side panel)

Open the Reports Tab

In the dashboard, click the Reports tab (the last tab in the row). You'll see a toolbar at the top with filters and action buttons, and below it, a table listing every participation log you've recorded.

  • 1 Toolbar - Filters on the left (class, status, date, search) narrow down which logs appear. Actions on the right (sort, export, insights) control how you view and use the data.
  • 2 Participation table - Every logged participation entry in reverse-chronological order. Each row shows who spoke, how they did, which class, and exactly when.
Where does this data come from?

Every time you click a participation status button on the Tracker tab (such as "Met," "Exceeded," or "Struggled"), PrepPanel creates a log entry. The Reports tab aggregates every entry across all your sections into one searchable, filterable view.

Filter Your Data

The toolbar gives you four ways to narrow down what's shown in the participation table. Filters combine together - so you can view, for example, only "Struggled" entries from Period 2 in the last 30 days.

  • 1 Class filter - Defaults to "All classes." Select a specific section to see only that class's participation logs. Your section names populate this dropdown automatically.
  • 2 Status filter - Defaults to "All statuses." Select a specific status to isolate entries with that label. The options here match your participation status labels, which are fully customizable.
  • 3 Date filter - Choose a time window: All time, Today, Last 7 days, Last 30 days, or Last 90 days. This is especially useful for seeing trends within a grading period or week.
  • 4 Search - Type a student name, class name, or status label to instantly filter the table. The search checks across all columns, so typing "Marcus" shows all of Marcus's entries regardless of class or status.
Combining filters for targeted analysis

Filters stack. Set Class to "Period 1," Status to "Struggled," and Date to "Last 7 days" to see exactly which students struggled this week in a specific class. This is a fast way to identify who might need a check-in before the next lesson.

Sort and Search

The Sort dropdown on the right side of the toolbar controls the order of the table rows. There are three options:

  • Newest first (default) - The most recent logs appear at the top. This is the best view for a quick check at the end of a class period.
  • Oldest first - Flips the order so the earliest logs appear first. Useful when reviewing how participation evolved over time.
  • Student A-Z - Sorts alphabetically by student name. This groups all of a single student's entries together, making it easy to see one student's full participation history at a glance.

The Search input works in real time - results update as you type. It matches against the student name, class name, and status label. For example, typing "Met" will show all entries where the status contains "Met."

Student A-Z for parent conferences

Switch to "Student A-Z" sort before a parent meeting. You'll see every participation entry for that student grouped together, giving you a clear picture of their engagement pattern over time without clicking through filters.

Read the Participation Table

Each row in the table represents one logged participation event. Here's what each column tells you:

  • Student - The name of the student who was called on.
  • Status - The participation quality you logged (displayed in the status label's color). The default labels are Met, Exceeded, and Struggled - but these are fully customizable. You can rename them, change their colors, and add or remove options to match your own rubric.
  • Class - Which section this entry belongs to.
  • Timestamp - When the participation was logged, formatted as a short date and time (e.g., "Feb 18, 2:45 PM").

If no logs exist yet, you'll see the message: "No participation logs yet." If logs exist but nothing matches your current filters, the message changes to: "No participation logs match the current filters."

Status colors are your visual shorthand

Because status labels are shown in their assigned colors, you can scan the table visually for patterns. A column of green tells a different story than a column peppered with orange. The color system works the same way in the Insights view, so the visual language stays consistent.

Switch to Equity Insights

Click the Insights button in the toolbar to switch from the participation table to the Equity Insights panel. This is where PrepPanel turns your raw logs into visual analysis. The button text changes to "Recent Activity" while the insights view is active - click it again to return to the table.

The Insights panel has four components: an equity score, a needs-attention callout, call frequency bars, and a status breakdown. The class and date filters still apply here (though the status filter and search do not affect the insights view).

  • 1 Equity Score - A single number summarizing how evenly participation is distributed. Calculated as (minimum call count / maximum call count) x 100. Color-coded: green (80%+), yellow (50-79%), or red (below 50%).
  • 2 Needs Attention callout - Flags students with zero logs and students significantly below the class average. When participation is well-distributed, this turns green with a positive message instead.
  • 3 Call Frequency bars - One bar per student, sorted from least to most calls. Each bar is a stacked visualization with colored segments representing different statuses. Hover over a segment to see the exact count for that status.
  • 4 Status Breakdown - Shows each student's participation counts as colored chip pills, sorted alphabetically. Students with no entries show "No logs" instead of chips. This view makes it easy to compare how different students are performing at a glance.
Insights filters are intentionally simpler

The Insights view only uses the class and date filters - not the status filter or search input. This is by design. Equity analysis needs to see the full picture of a student's participation across all statuses. Filtering by a single status would skew the equity score and bar charts.

Understand the Equity Score

The equity score answers one question: Is everyone getting roughly the same number of opportunities to participate?

It's calculated as a simple ratio: the student with the fewest logged calls divided by the student with the most, multiplied by 100. If your most-called student has 8 entries and your least-called student has 5, your score is (5 / 8) x 100 = 62%.

The score is color-coded to give you an instant read:

  • Green (80% and above) - Participation is well-distributed. Your least-called student has at least 80% as many logs as your most-called student.
  • Yellow (50-79%) - There's a noticeable gap. Some students are being called on much more than others.
  • Red (below 50%) - A significant imbalance exists. Some students may be getting overlooked regularly.
  • Neutral - Not enough data to calculate a meaningful score yet.
What a low score tells you

A low equity score isn't a judgment - it's a signal. Maybe you've been focusing on a few vocal students, or maybe some students have been absent frequently. Use the "Needs Attention" callout and the call frequency bars to identify who's being missed, then make an intentional effort to call on them in your next few sessions. The random queue on the Lineup tab helps with this automatically.

Track your score over time

Use the date filter to compare your equity score across different time periods. If you see your score improving from "Last 30 days" to "Last 7 days," that's concrete evidence that your participation practices are becoming more equitable.

Export to CSV

Click the Export CSV button on the toolbar to download all of your participation data as a file called preppanel-report.csv.

The CSV file includes four columns:

  • Student - The student's name
  • Status - The participation status label
  • Class - The section name
  • Timestamp - The full date and time string

All fields are quoted in the output, making it safe to open in Excel, Google Sheets, or any spreadsheet application without formatting issues.

CSV exports ALL logs, not just filtered ones

Regardless of what filters you currently have active, the Export CSV button downloads your complete participation history across every class and every date. This ensures you always get a full backup of your data. If you need a filtered subset, open the CSV in a spreadsheet and use its built-in filtering tools.

When to export

Export before parent-teacher conferences so you have concrete participation data to reference. Export at the end of each grading period for your records. Export before clearing data if you want an archive. The CSV is your safety net - it works outside of PrepPanel and can be shared with administrators or co-teachers.

Tips & Best Practices

Check Insights weekly

Make it a habit to open the Insights view once a week with the "Last 7 days" filter. A quick glance at the equity score and the needs-attention callout tells you whether your participation distribution is on track - or whether certain students need more opportunities in the coming week.

Use date filters to track improvement

Compare your equity score across different time windows. If "Last 30 days" shows 55% but "Last 7 days" shows 78%, your recent efforts to call on more students are working. The date filter turns the Reports tab into a progress tracker for your own teaching practice.

Export before parent conferences

A CSV export gives you timestamped, objective participation data you can reference during parent meetings. Instead of saying "your child participates sometimes," you can show exactly how many times they were called on, how they performed, and whether that's consistent with their peers.

Use the equity callout to guide your next lesson

The "Needs Attention" callout names specific students who have zero logs or are significantly below average. Before your next class, glance at this list and make a mental note to call on those students. The random queue handles this automatically, but the callout helps you stay aware of the bigger picture.

Customize status labels to match your rubric

If "Met," "Exceeded," and "Struggled" don't match how you think about participation, change them. Go to the Tracker tab in the dashboard and click "Customize response buttons" to rename labels, adjust colors, or add new options. Your custom labels flow through to the Reports tab, the Insights view, and CSV exports automatically.

Common Questions

Does the CSV export filtered data or all data?

All data. The Export CSV button always downloads your complete participation history across every class and date, regardless of which filters are currently active. This gives you a full backup every time. Use your spreadsheet application's built-in filter tools if you need a subset.

Can I customize the participation status labels?

Yes. The default statuses are Met, Exceeded, and Struggled - but you can rename them, change their colors, and add or remove options entirely. Go to the Tracker tab in the dashboard and click "Customize response buttons." Your custom labels appear everywhere: the Tracker tab, Reports table, Insights panel, and CSV exports.

What does the equity score actually measure?

The equity score measures how evenly participation opportunities are distributed across students. It's calculated as (minimum call count / maximum call count) x 100. A score of 100% means every student has been called on exactly the same number of times. A score of 50% means your least-called student has half as many entries as your most-called student.

Where does the participation data come from?

Every time you click a participation status button on the Tracker tab in the dashboard, PrepPanel creates a log entry with the student's name, the status you selected, the class section, and a timestamp. These entries accumulate over time and are stored locally in your browser. The Reports tab reads from this same data store.

Can I delete individual participation logs?

The Reports tab is a read-only view of your participation history. You can use the Undo button on the Tracker tab immediately after logging to reverse the most recent entry. For older entries, there's no individual delete - this is intentional, so your historical data stays intact for accurate reporting. If you need a clean slate, you can clear all data from the Settings sub-tab.

Is there a way to see an individual student's full history?

Yes. Type the student's name into the Search field and it will filter the table to show only their entries. Combine this with the "Student A-Z" sort for a clean chronological view. You can also narrow by class and date range. In the Insights view, find their row in the Call Frequency bars or Status Breakdown for a visual summary.
